The store manager's review

The cashiers' counts add up to a picture of the whole store. The store manager starts from the store total for the business date, opens the till that is off, and, when that till was counted during the day, sees which shift the money went missing in.

A store manager drills down. The whole store is 45 short, beyond the store limit of 30. Till 1 is 10 short, till 2 is 5 over and till 3, the shared till, is 40 short. Till 3 was counted when Anna handed over to Ben at 14:30 and balanced then, so all 40 went missing in Ben's shift, from 14:30 to closing.

The store total

For a business date, the store manager sees every tender's expected amount, counted amount and deviation, summed over all the store's till audits. Each tender can have a store-level limit as well as the per-till limit: maxAllowedStoreDeviationAmount and maxAllowedStoreDeviationQuantity in the tender settings.

The store limit does not stop anything. When a tender's store total is outside it, Hii InStore asks for an explanation when the day is closed, and that explanation travels with the day's summary. See Closing the day.

In the example, till 3's 40 is beyond its per-till limit of 20, so its till audit was locked and approved with an explanation. Tills 1 and 2 each passed on their own.

Small deviations that each pass the per-till limit can also add up to one that fails the store limit. That is the point of having both: a store with ten tills each 15 short is 150 short, and somebody should say why.

Shifts: who was at the till when it went wrong

With a shared drawer, the till audit alone cannot say which cashier was responsible for a shortage. Shifts can.

Counting the drawer during the day splits the till audit into shifts: a spot count when one cashier hands over to the next, then the closing count. Each shift gets its own deviation, the change in deviation since the previous count, and the user who counted. On till 3:

CountDeviation at the countDeviation in the shift
14:30, spot count when Anna hands over to Ben00 for Anna's shift
20:00, closing count by Ben−40−40 for Ben's shift

The more often the drawer is counted, the narrower the window each deviation can come from.

The shift view in Hii InStore, shown when rec.do-display-change-shift.v1 is on for the store, splits the till audit at its spot counts and its latest count. The reconciliation-change-shift event, published when the till audit completes, lists every count in time order, including closing attempts that were rejected. Each rejected attempt is a shift of its own there, so a miscount and the recount that corrects it show up as two shifts that cancel out.

Spot counts

A spot count counts a drawer without closing anything. The store manager uses it to check a till at a shift change, or when something looks wrong, while the till keeps trading.

  • It is allowed while the till audit is OPEN or LOCKED.
  • It does not use an attempt and does not change the till audit's status.
  • The answer says whether the drawer was within the limits at that moment, with the deviation per tender.
  • It becomes a shift boundary, as described above.
  • Hii InStore can ask for a comment with each spot count, when rec.show-reconciliation-spot-balance-comment.v1 is on for the store.

Spot counts are not published on their own. They reach other systems through the shifts in reconciliation-change-shift.

Recounts

A recount counts a till audit again after it was completed. Typical reasons: the store manager emptied the drawer and counted it in the back office, or a note was found under the drawer tray after the cashier's count.

  • It is allowed only on a COMPLETED till audit, and only until the day is closed. After end of day, the till audit can no longer be recounted.
  • It needs the permission rec.counts.recount.
  • It does not change the till audit's status. It records a new count, and publishes the correction: the difference from the previous count of the same till audit.

A recount corrects a till audit. The cashier counted 1 620 against 1 630 expected, a deviation of minus 10 within the limit, so it was approved. The store manager finds a 10 note under the drawer tray and recounts 1 630. The recount event carries a correction of plus 10, and Cash Management adds those 10 to the safe.

When the recount is outside the allowed deviation, Hii InStore asks for a comment, unless rec.do-skip-reconciliation-recount-comment.v1 is on for the store. A recount within the limit, or one with a comment, is published at once. One outside the limit without a comment is held for the comment, and published without it after 10 to 25 minutes.

The correction reaches Cash Management, so the safe's balance follows the recount. See Cash to and from the safe.

The cash report

For each till audit, Hii InStore can show a cash report: the opening amount, every cash movement in time order, and the expected and counted amounts. It is the place to look when a deviation needs explaining.
