Closing the day
When every till audit for a business date is done, the day can be submitted. Reconciliation then publishes one summary for the store and date: every tender's expected amount, counted amount and deviation, summed over all the till audits, with the store manager's comment. This is the event an ERP or accounting system normally takes.
Submitting the day
The store manager submits the day in Hii InStore, or a client calls
POST /api/v1/business-units/{businessUnitId}/end-of-day:submit with the business date. It needs the permission
rec.end-of-day.submit.
Every till audit for the date must be completed first. A submit while any till audit is still OPEN or LOCKED
is refused. Cash-changer till audits count too, unless rec.do-include-cash-changer-in-end-of-day.v1 is off for the
store. Till audits with nothing to count are closed automatically by the submit, and do not have to be done
first.
The comment is optional, with one exception in Hii InStore. When a tender's store total is outside its
store-level limit (maxAllowedStoreDeviationAmount or maxAllowedStoreDeviationQuantity), Hii InStore asks the store
manager to explain before it submits. The explanation is published with the summary, in comment. A client of your
own should do the same: the API accepts the submit with or without a comment.
Is closing the day mandatory?
No. Nothing forces it, unless the store has auto-submit switched on. But until the day is submitted:
- no summary is published, so a system waiting for the day's figures receives nothing for that store and date
- the till audits can still be recounted, so the figures are not final
Once submitted, the day's till audits are final: they can no longer be recounted.
Submitting automatically
With rec.do-auto-submit-end-of-day.v1 on for a store, Reconciliation submits the store's days by itself. Every hour,
it looks for business dates that have ended and have not been submitted. When every till audit for such a date is
completed, it submits the day, exactly as the store manager would: till audits with nothing to count are closed, and
the summary is published. This works whether the drawers were counted by staff or there was nothing to count.
If some till audits for the date are still open, it tries again the next hour, up to 30 times. After that, the day has to be submitted by hand.
A day outside the store's limit is left for the store manager. When a counted tender's store total is outside its
store-level limit (maxAllowedStoreDeviationAmount or maxAllowedStoreDeviationQuantity), auto-submit does not
submit the day, because the deviation needs an explanation. The store manager submits it with a comment.
⚠ An automatically submitted day can no longer be recounted. A day whose till audits are all completed before closing is submitted within the first hour after the business day ends. A store that recounts drawers the next morning should keep auto-submit off.
The setting is copied onto each till audit when the till audit starts, so switching it on affects new till audits only. Auto-submit is off by default.
When a day is submitted more than once
A submit publishes a summary only when there is something new: when till audits for the date have completed since the previous summary. That happens when a transaction for the date arrives after the day was submitted, starts a new till audit, and that till audit is counted later.
The new summary carries the totals for the whole day again, and each total also has a delta: the change since the previous summary for the same store and date. A system that books the summary should book the deltas, or replace the day with the newest totals, but never add the totals of two summaries together. See Receiving the events.
The daily cash balance
Every night at 03:00 UTC, Reconciliation can also publish each store's expected cash balance: the cash, per
currency, that should remain in the drawers and cash changers at the end of the previous day. It is switched on per
tenant. The event is cash-balance, one message per tenant with a line per store and currency.
