Cash to and from the safe

Reconciliation keeps track of the cash in the drawers. Cash Management keeps track of the cash in the store's safe. Every amount that leaves a drawer for the safe, or the other way, is reported by Reconciliation, and Cash Management moves the same amount in or out of the safe's balance. Neither service has to be told twice.

Cash moves between the safe and one drawer during the day. The safe starts at 10 000. The 2 000 float leaves the safe in the morning, leaving 8 000. A 1 000 deposit from the drawer at 15:30 brings it to 9 000. After closing the counted 1 620 goes back into the safe, 10 620. The manager's recount adds 10, so the safe ends at 10 630: 630 more than it started with, which is the day's net cash sales.

🛑 The store needs a safe in Cash Management. Cash Management books Reconciliation's events into the store's safe. For a store without one, it ignores them, and the safe's balance never moves.

The example is till 1's drawer from How the expected amount is built. The safe gains 630 over the day, the drawer's net cash sales: 350 + 120 − 80 + 240.

What moves the safe

A till audit starts with a floatreconciliation-created, with the float per tender− the float, which has gone into the drawer
Cash brought from the safe into a drawer during the day (tender loan)transfers− the amount
Cash taken from a drawer to the safe during the day (tender deposit or pickup)transfers+ the amount
A till audit is completed after closingreconciliation-completed, with the counted amounts+ the counted amount, which goes back into the safe
A till audit is recountedreconciliation-recount, with the correction+ or − the correction

Some details that decide the numbers:

  • Only cash moves the safe. Cash Management takes the tenders that it has configured as cash, and ignores cards, vouchers and the rest.
  • A rejected count does not move the safe. Only the approved count of a till audit does.
  • A till audit with nothing to count moves its expected amount, because the expected amount is taken as counted.
  • A POS that records loans and deposits as paid-in and paid-out with a reason code is supported too: name the reason codes in rec.reason-code-tender-loan.v1 and rec.reason-code-tender-deposit.v1, and Reconciliation reports those paid-ins and paid-outs to Cash Management as loans and deposits.

The safe's own counts, bank deposits and safe audits are Cash Management's: see What moves the safe and The safe audit.
