Exchange rates in the Configuration Portal and Hii InStore

The Exchange rates page in the Configuration Portal is for rates set by hand and for switching the ECB import on and off. It is also the only place to set a rate on a group of stores. When a company's ERP system manages the rates, it uses the Exchange Rates API instead, and the page shows what it has set. Markups are set on the same page in Hii InStore, see Setting a markup in Hii InStore.

The page always works on one level at a time: the whole company, one group or one store. Read Which rates a store uses first if you are not sure which level to pick.

Picking the level​

Press Browse..., and pick the level: the whole company, a group or one store.

The Exchange rates page before a level is picked. Press Browse, then pick the level: the whole company, a group such as South, or one store. Here Store Malmö is picked.

Active exchange rates then lists every rate the level uses, including the ones it inherits from above. Each row reads like the rest of Hii Retail: From is the currency the rate is counted in and To is the currency being priced, so the row Swedish Krona - SEK, Euro - EUR, 11.3205 means 1 EUR = 11.3205 SEK. Adding a rate​

The example adds a rate for US dollars to Store Malmö, where the ECB import is switched off.

  1. Pick the level, as above. + New exchange rate is shown when the ECB import is switched off for that level.

  2. Press + New exchange rate.

  3. Pick From and To, type the rate, and press Confirm and Activate rate. The dialog reads the rate for you: with From SEK and To USD, it asks what 1 USD equals to in SEK.

  4. The page says Configuration successfully saved, and the rate is listed under Active exchange rates. Every store below this level now uses it, unless it has a rate of its own.

What to know about rates added here:

  • They are SALES rates. PURCHASE and INTERCOMPANY rates are set through the API.
  • Add one direction per currency pair. The page refuses the reverse of a pair it already has. The list shows the direction you added, and the messages to other services carry both. See Both directions are always available.
  • The currencies offered are the ones the level takes in Currency.

To change a rate, press the pencil under Actions, type the new rate in Update exchange rate, and confirm.

Deleting a rate​

  1. Pick the level where the rate was set.

  2. Press the bin under Actions on the rate's row.

  3. Press Delete. No, keep it closes the dialog without changing anything.

    The Delete exchange rate dialog asks: Are you sure, you want to delete this exchange rate? The Delete button is marked. No, keep it cancels.

  4. The page says Configuration successfully saved. If a level above has the same rate, this level and the stores below it use that one again. See Deleting a rate.

⚠ Delete a rate at the level where it was set. The list also shows the rates a level inherits, but those belong to the level above. To stop one store using an inherited rate, add a rate of its own for the store.

Switching the ECB import on and off​

  1. Pick the level: the whole company, a group or a store.

  2. Switch Enable automated exchange rates on. The change is saved straight away.

  3. The rates arrive with the next nightly run. Until then the page says Automated exchange rate is enabled. Please allow up to 24 hours for the rates to be reflected. Once imported, the rates are listed in both directions.

While the import is on for a level, + New exchange rate is not shown there: the import is in charge of that level's sales rates. Read Importing rates from the European Central Bank for what it imports, and check that the level has a default currency first.

To switch it off, switch Enable automated exchange rates off. The rates the import created on that level stay as they are and are now yours to keep up to date, and + New exchange rate is shown again. See Keeping the rates tidy.

The switch is greyed out on a level that takes fewer than two currencies.

Setting a markup in Hii InStore​

The markup is set on the Exchange rates page in Hii InStore, called Valutakurser in Swedish. It lists the same rates as in the Configuration Portal, with two more columns: Markup (Påslag) and Effective rate (Tillämpad kurs), the rate with the markup applied. The pictures show the Swedish page.

  1. Open Valutakurser, and press the pencil under Hantering (Actions) on the rate that should have a markup.

SEK and EUR have a markup of 2 %, so 1 EUR = 11.3205 SEK is applied as 11.09409, and 1 SEK = 0.088335 EUR as 0.086568. The pencil on the first row is marked.

  2. Type the markup in Påslag (%), and press Aktivera kurs (Confirm and Activate rate). The rate itself comes from the ECB import and cannot be changed here.

    The Uppdatera valutakurs (Update exchange rate) dialog in Hii InStore for the rate from Swedish Krona - SEK to Euro - EUR. The rate, 1 EUR motsvarar 11.3205 SEK, comes from the ECB import and cannot be changed. Påslag (%) is set to 2, marked. The buttons are Stäng and Aktivera kurs.

  3. Tillämpad kurs shows the rate with the markup. With 2 % on 1 EUR = 11.3205 SEK, it shows 11.09409: each euro a customer pays counts as fewer kronor, which is the store's margin.

The markup field is offered on rates the ECB import keeps up to date. The import goes on updating the rate every night, and the markup stays.
