Which rates a store uses
Three levels, and a store uses everything above it
A rate can be set at three levels:
| Level | Hii Retail term | Reaches |
|---|---|---|
| The whole company | tenant | every store |
| A group of stores | business unit group | every store in the group, and in the groups below it |
| One store | business unit | that store |
The groups are the store groups the company already has in Hii Retail: a region, a country, a chain. Exchange Rates does not keep a tree of its own.
A store uses every rate set above it, plus its own. A rate is identified by its type and its two currencies, so
the SALES rate from SEK to EUR set for the company and the SALES rate from SEK to EUR set for a store are the
same rate at two levels. Where both exist, the one on the lower level wins.
In this example:
- The company's
SALESrate for euros is 1 EUR = 11.3205 SEK, so every store uses it. - Store Landvetter is at an airport and gives a different rate, 1 EUR = 11.10 SEK. That rate is set for Landvetter only, and Landvetter uses it instead of the company's.
- Stockholm and Strömstad have no euro rate of their own, so they keep using the company's.
So set a rate at the highest level where it is true. If every store uses the same rate, set it once for the whole company rather than for each store. New stores then get it automatically when they are added to the tree.
A rate set on a level is always kept on that level, even when it happens to be the same number as the rate above it. It is that level's own rate, and a later change higher up does not reach it.
⚠ A level whose list of rates has been replaced does not inherit. The API, the ECB import and the Configuration Portal always add to what a level inherits. If a group's or store's list was instead written as a whole, directly in the company's configuration, that level uses only that list, and rates set above it no longer reach it. Extenda can remove that list, and the level then inherits again.
Deleting a rate
Deleting a group's or a store's own rate returns it to the rate it inherits.
| You delete… | Result |
|---|---|
| a store's or a group's own rate | That level, and the stores below it that had no rate of their own, use the rate from the level above again. |
| the company's rate | Every store that used it stops having that rate. Stores and groups with a rate of their own keep theirs. |
| The stores that lose a rate are told so: their message lists it as deleted. See | |
| Messages to other services. |
⚠ Delete a rate at the level where it was set. A store also lists the rates it inherits, but those belong to the level above. To stop one store using an inherited rate, give the store a rate of its own instead.
Markups follow the same rules
A markup is set on a rate, so it reaches the same stores as the rate. Setting a markup never stops an imported rate from updating: the import keeps the rate up to date, and the markup is applied to it.
What happens after a change
- The change is saved in the company's configuration. That is the moment the Configuration Portal says Configuration successfully saved. The API accepts a change before it is saved, see Exchange Rates API.
- Exchange Rates works out which stores the change affects, and which rates each of them now uses.
- For each store whose rates changed, Exchange Rates tells the other Hii Retail services. A store that has its own rate for the pair is not affected by a change above it, and gets no message. See Messages to other services.
Steps 2 and 3 follow shortly after the change is saved.
Which tool can set what
| Change | Exchange Rates API | Configuration Portal |
|---|---|---|
| Set or delete a rate for the whole company | ✅ | ✅ |
| Set or delete a rate for one store | ✅ | ✅ |
| Set or delete a rate for a group of stores | Not in the API today. Use the Configuration Portal. | ✅ |
Set a PURCHASE or INTERCOMPANY rate | ✅ | The portal sets SALES rates only. |
| Switch the ECB import on or off | Not in the API. Use the Configuration Portal. | ✅ |
| Set a markup | Not in the API. Use Hii InStore. | Set in Hii InStore, on the same page. |
An ERP system that sets rates for the company and per store keeps working when the company later sets some rates on groups in the Configuration Portal. A store simply uses the rate set nearest to it.
