Which currencies a store takes

Nothing is switched on at the start​

A new company has no currencies switched on. Someone has to switch on each currency its stores take, either the company's ERP system through the Currency API or a person in the Configuration Portal.

Three levels, and a store takes everything above it​

A currency can be switched on at three levels:

The groups are the store groups the company already has in Hii Retail: a region, a country, a chain. Currency does not keep a tree of its own.

A store takes every currency switched on above it, plus its own. Nothing has to be repeated further down:

A company tree. EUR is switched on for the whole company. Group Norway adds NOK as its default, and group Sweden adds SEK as its default. Store Bergen also adds USD. Each store takes what is switched on above it plus its own.

In this example:

  • EUR is switched on once, for the whole company, so every store takes it.
  • Group Norway adds NOK, so Oslo and Bergen take EUR and NOK. Group Sweden adds SEK for Stockholm and Malmö.
  • Store Bergen is in a cruise port and also takes USD, so USD is switched on for Bergen only.

So switch a currency on at the highest level where it is true. If every store takes EUR, switch it on once for the whole company rather than for each store. New stores then get it automatically when they are added to the tree.

⚠ A store whose list has been replaced does not inherit. The Currency API and the Configuration Portal always add to what a store inherits. If a store's list was instead written as a whole, directly in the company's configuration, the store takes only that list, and changes made above it no longer reach it. Extenda can remove that list, and the store then takes what it inherits again.

The default currency​

One currency in a store's list is its default currency, marked ★ in the pictures: the store's main currency, normally its local currency. Hii Retail apps use it when they show an amount.

  • Only one currency in a list can be the default. A second one is refused when it is saved. To change the default, first set the current one to No, then set the new one to Yes.
  • Mark the default at the level where it is true. If every store uses the same main currency, mark it once for the whole company. If they differ, mark it on each group or store, as Norway and Sweden do in the example.
  • ⚠ Check that every store ends up with a default. Nothing forces one to be set, and an app that needs a main currency cannot choose one for a store that has none.

Switching a currency off​

⚠ To remove a currency from every store, switch it off where it was switched on. Switching it off store by store also works, but each of those stores then keeps its own "off" setting. If the currency is later switched on again higher up, those stores still do not take it until it is switched on again for each of them.

A currency that is switched off can be switched on again at any time, at the same level.

What happens after a change​

  1. The change is saved in the company's configuration. That is the moment the API answers or the Configuration Portal says Configuration successfully saved.
  2. Currency works out which stores the change affects, and what each of them now takes.
  3. For each affected store, Currency tells the other Hii Retail services. See Messages to other services.

Steps 2 and 3 follow shortly after the change is saved.

An ERP system that switches currencies on and off per store keeps working when the company later sets some currencies on groups in the Configuration Portal. A store simply takes both.
